Screens

A screen is a TV or PC that shows live information from RTObase. Nobody signs in on it, and it cannot change anything. Put the booking board by the prep desk, or today's classes in the lobby.

A screen updates by itself within a few seconds of a booking, class, hold or asset check changing. If a screen has been moved to another day and nobody touches it for 10 minutes, it goes back to today.

What a screen can show

Booking board. The same asset and trainer lanes as the staff board. It shows scheduled and completed bookings only. Cancelled and no-show sessions never reach a screen, so the board has no Status filter. People at the screen can change the day, switch between Day and Week, and switch between Assets and Trainers. They can move from last week to six weeks ahead. Nothing on the board opens or edits a booking.
Today's classes. Each class session today with its time, location and trainer, marked Upcoming, In progress or Finished.
Asset readiness. Each asset on the booking board, with its daily check due or done, whether it is out of service, and how many live bookings it has today. Cancelled and no-show sessions do not count.

Where the screen is

When you add a screen, choose where it sits:

Staff area

Booking cards show everything the staff board shows: learner names, driver licence numbers, verified identity, payment status and board fields. Use this for a prep desk or staff room.

Public area

Learners show as first name and last initial. Licence numbers, identity, payment, board fields, and the wording on holds and lock-outs are removed before the information leaves RTObase. Use this for a lobby or hallway.

You can change this later from Edit. The screen follows the change straight away.

Setting up a screen

Add the screen

Go to Settings, then Screens, and click Add screen. Give it a name, choose what it may show and where it sits. RTObase shows a connection code. It works once and lasts 15 minutes.

Connect the TV or PC

On the screen, open rtobase.com.au/screens/connect and enter the code.

Choose what it shows

Pick one view, or several to rotate between. Choose a location if you run more than one site, and how the booking board opens. Click Start screen.

A screen set to one location only receives that location's bookings, classes and assets. Nobody at the screen can switch it to another site. Choose All locations to show every site.

To change these choices later, click the gear in the top corner of the screen.

Keeping a screen running

Set the browser to open rtobase.com.au/screens/live when the PC starts. In Chrome you can use kiosk mode. On Windows, a shortcut in the Startup folder works.
Turn off sleep and screen dimming in the PC's power settings. RTObase asks the browser to keep the display awake, but not every browser allows it.
Do not clear the browser's site data. The screen stores its connection there. If it is cleared, the screen shows the connect page again and needs a new code.

Replacing or removing a screen

New connection code disconnects the current device and gives you a code for a new one.
Remove stops the screen straight away and sends it back to the connect page.

The Status column shows Online while a screen is checking in and Offline when it has not been seen for 15 minutes.
