Connect your own compatible AI assistant on Startup, Business and Custom. Your assistant must support custom connections to other software, which can depend on its own plan or workspace settings. An RTObase admin must enable AI access to personal records. Business and Custom also include developer API keys with scoped access and custom roles with View, Edit and Manage permissions per area. The in-app Admin Agent is included on every plan.

RTObase starts at $0 per month. The Startup plan has no monthly fee: you pay a platform fee of 2% + 30c per enrolment, capped at $4 + GST, so a $150 enrolment costs $3.30 + GST and a $2,000 qualification costs $4 + GST. Only eligible enrolments incur a fee; monthly invoices can include earlier activity awaiting billing. The Business plan is a flat $499 + GST per month with no per-enrolment fees or student limit, which usually works out cheaper from about 125 enrolments a month. Student management, AVETMISS 8.0 reporting, online course delivery and the website builder are included on both. Custom pricing is quoted for RTOs that want their own payment gateway and dedicated SLAs.

Only the Startup plan has one: 2% of the fee basis plus a 30c fixed component, capped at $4 + GST, for example, a $500 enrolment costs $4 + GST. Business and Custom plans have no per-enrolment fees at all. For manual and other metered enrolments, the fee basis is the payments recorded for the enrolment. An enrolment with no payment recorded is charged the $4 + GST maximum, and a $0 payment confirms a free enrolment. Zero-value and fully discounted enrolments, imported history, explicit practice and verified online test activity are excluded. Enrolments created on Business or Custom remain covered after a downgrade. Your RTO pays the platform fee.

Yes. RTObase prices are quoted + GST, including calculator totals. GST applies to our platform fees even when your course fees are GST-free. Your course fees have their own GST treatment.

No hidden fees. The Startup plan has no monthly fee. You only pay 2% + 30c per enrolment (capped at $4 + GST). The Business plan is one flat $499/month + GST, with no per-enrolment fees or student cap. It includes up to 1,000 outgoing text messages per month under fair use. We don't charge setup fees, data migration fees, or cancellation fees.

No. The 1,000 allowance counts outgoing text messages sent each month. It does not limit student records or enrolments. Business has no per-enrolment fees.

No. Every RTObase plan is month-to-month. You can cancel anytime, effective at the end of your billing period, and your data stays available for export. Several established RTO platforms require multi-year terms (Wisenet’s published pricing carries a 2-year minimum term, verified May 2026) or charge onboarding fees (eSkilled publishes a $2,490 setup fee). RTObase has no minimum term or setup fees. Hands-on migration support is included on Business.

Online course-fee payments use Stripe Connect, or your own Stripe or eWAY gateway on Custom. When your RTO turns it on, learner payment links also show bank-transfer details. Staff confirm a bank transfer once the money arrives. RTObase platform invoices use the separate Billing settings.

Yes, you can upgrade or downgrade at any time. New enrolments created on Business have no per-enrolment fee. Fees already accrued on Startup remain payable. You pay one flat monthly fee with text messaging included, hands-on migration support, and the CRICOS and funded VET compliance modules. If you downgrade, you'll keep access until the end of your current billing period; compliance-module data is kept and the module reactivates if you upgrade again. All core features, including AI, course builder, and custom domains, are available on every plan.

Yes. Both are Business-plan compliance modules, also included on Custom, and each is switched on per organisation. CRICOS & international student support covers ESOS written agreements, CoE and visa tracking, agent commission-ban checks, welfare arrangements and statutory refund clocks. Funded VET reporting prepares jurisdiction NAT exports for state training authority claims. Neither is metered, so international and funded enrolments never incur per-enrolment fees. Fee-for-service AVETMISS reporting to NCVER stays included on every plan, including the free Startup plan.

GST on your course fees is handled separately from GST on RTObase’s platform fees. Nationally accredited training is a GST-free education supply under the ATO rules, so your RTO’s course invoices show no GST on that training, even when an employer pays for its staff. Non-accredited courses are treated as GST-inclusive by default, and you can override the GST treatment on any course. Every invoice and tax invoice shows GST only where it actually applies.

There are no lock-in contracts. You can cancel anytime and you'll retain access until the end of your billing period. Your data remains available for export, and we'll help you transition if needed.

The Startup plan has no monthly subscription. You can set up courses and explicitly declare practice enrolments without a platform fee. Real enrolments with a positive fee basis incur the published per-enrolment fee, including manual activity while online payments are in test mode. Online test mode alone does not make staff-created enrolments practice.

No. For a new public Stripe Connect enrolment, the Startup fee (2% + 30c, capped $4 + GST) is taken when the learner pays. Existing enrolment payment links, including Connect payments, and other eligible fees go on a monthly RTObase invoice, emailed to your invoice email and paid by bank transfer within 30 days. Keep a valid invoice email in Settings > Billing > Settings. Without one, new real enrolments pause after a 30-day grace period starting at your first monthly fee or when bank billing goes live, whichever is later. Unpaid RTObase invoices also pause new real enrolments seven days after their due date, even after a plan change. Existing delivery remains available. View your invoices and metered enrolments in Settings > Billing.

RTObase invoices your RTO for platform fees. Your RTO is responsible for collecting course fees from learners or employers. Paid self-service website enrolment needs a configured online payment gateway. Booking courses without a gateway accept requests for staff to confirm the price and session time. Your RTO must invoice the client or collect payment offline and record the receipt. A booking request does not automatically create a client invoice. For eligible metered enrolments, the platform fee is based on qualifying net payments recorded for the enrolment. With no qualifying payment recorded, the fee is the $4 maximum plus GST, regardless of the saved course price. A $0 payment confirms no platform fee.
