Manual LLN Completion

Mark LLN as satisfied for an enrolment when it was demonstrated out-of-band, paper LLN, prior assessment from another RTO, or RPL evidence.

Manual LLN Completion

Most enrolments satisfy the Language, Literacy and Numeracy (LLN) check by completing the in-app pre-enrolment LLN assessment. But there are valid reasons LLN may already be on file, paper LLN sighted at induction, an LLN result transferred from another RTO, or RPL evidence that demonstrates competency. For those cases, members with Enrolments: Edit can mark LLN as satisfied for an individual enrolment with a documented reason.

A manually-completed LLN counts the same as an in-app submission for lifecycle gates: the enrolment progresses through Pipeline → Enrolled → In Training without being held at the LLN gate. The reason and the staff member who actioned it are captured for the audit trail.

When the course requires LLN, the enrolment header shows a compact LLND status chip. Use it for a quick status check; open Learning & Assessment to review the evidence or record and reverse a manual completion.

When to use it

  • The student completed a paper LLN that you've sighted and filed
  • The student's LLN result was assessed at another RTO and you're recognising it
  • RPL evidence demonstrates the LLN competencies (e.g. a degree, prior qualification)
  • An equivalent assessment was completed out-of-band (e.g. workplace LLN by an employer)

If the student should complete the in-app LLN, just leave the gate in place and direct them to the portal, manual completion is for the cases where the in-app flow isn't appropriate.

How to mark it complete

Open the enrolment detail page

From the sidebar go to Enrolments and click the enrolment, or jump in from the student detail page's Enrolments tab.

Find the LLN Assessment card

The LLN Assessment card sits in the enrolment's Learning & Assessment tab. If LLN isn't yet satisfied (no submission and no waiver), you'll see a Mark complete button.

Record the evidence

Clicking Mark complete opens the waiver dialog. Record your evidence and review Send the enrolment confirmation.

Confirm

Click Mark complete and notify or Mark complete without notifying, according to your choice. Your reason is recorded, and the student's enrolment feed shows an LLN Manually Completed event.

Form fields

Evidence / reasonRequired

A justification of between 1 and 2000 characters for the audit trail. Be specific enough that an auditor can understand why the LLN gate was waived without having to ask. Example: "Paper LLN sighted on 6 May 2026; results filed under student record. Numeracy 4, Reading 4, Writing 4: meets minimum for AHCWRK301."

Send the enrolment confirmation

When an active enrolment has a confirmation held behind the LLN check, this option requests the learner's start details after the waiver. It is ticked by default when sending is available. Untick it to waive LLN without a message. The choice is unavailable for enrolments with no held confirmation.

If the waiver saves but its message cannot be queued, RTObase reports that separately. Check Communications and use Send Confirmation from the enrolment if needed.

Who can do this

Manual LLN completion needs Enrolments: Edit, including when held by a custom role. Trainers using the trainer portal must ask an authorised office member to review the evidence.

Reversing a waiver

If you marked LLN complete in error, the same card on the enrolment detail page shows an Unmark action after the waiver has been recorded. Unmarking clears lln_waived_at, lln_waived_reason, and lln_waived_by_user_id: the gate returns to its pre-waiver state and the student needs to satisfy LLN through the portal or a fresh manual completion.

The original waiver event stays in the activity feed and audit log.

What this affects

SurfaceBehaviour after manual completion
Lifecycle gatesTreated as satisfied: the enrolment can progress past the LLN gate
Enrolment activity feedNew LLN Manually Completed event with your name, timestamp, and reason (tagged LLN)
Student portalStudent sees LLN as satisfied: no separate "waived" indicator
Lifecycle dashboardThe enrolment drops out of the LLN-blocker attention queue
Audit logFull record of the update, including the reason and your user ID

Warning

A manual LLN completion does not automatically clear a payment that's held in Pending LLN status. If the enrolment's payment was blocked behind the LLN gate, edit the enrolment's payment status separately (Edit Enrolment → Payment Status). The dialog shows an inline reminder of this.

Note

The student portal is opaque to why LLN was satisfied, it shows the same "Satisfied" state whether the student completed the in-app LLN or you waived it manually. The reason and your name are staff-only and live in the activity feed and audit log.
