Embed Code
Embed your course catalogue, individual course pages, enquiry forms and the booking calendar directly on your own website.
Last updated 22 Oct 2026
Embed RTObase directly into your existing website so students can browse and enrol, and, where you take appointments, book a session, without leaving your site. You can embed your whole course catalogue or a single course page.
The embed is optional
You don't need the embed, or a website, to run RTObase. Staff can enrol students and take bookings directly from the dashboard, and students can sign in at your portal to see their courses, assessments, and certificates. Use the embed only when you want students to enrol themselves from your existing website.
Access required
Choose the task you are doing. Each row is a separate action.
| Task | Required access |
|---|---|
| Open enrolment embeds, links and website configuration | Website: Manage |
| Select an enquiry Form | Forms: View |
| Create or change that Form | Forms: Manage |
Public enrolment and enquiry links do not require a staff role. They only expose the published flow, not backoffice records.
Accessing the embed code
Open the course catalogue
Go to Marketing → Course Enrolment → Course catalogue.
Copy the embed snippet
Click Copy to copy the HTML snippet to your clipboard.
Paste into your website
Add the snippet to any page on your website where you want the course catalog to appear.
The embed snippet
The snippet contains two parts:
<div id="rtobase-enrol"></div>
<script src="https://yourorg.rtobase.com.au/embed.js" data-path="/embed/courses"></script>
- The
<div>is where the course catalog will render - The
<script>loads the embed widget and creates a responsive iframe
How it works
When a visitor loads your page:
- The embed script creates an iframe pointing to your RTObase course catalog
- The iframe automatically resizes to fit its content, no scrollbars
- Students can browse courses, view details, and start the enrolment process
- Payments and form submissions happen securely within the iframe
What you can embed
RTObase provides a snippet for each of these:
- Course catalogue: a browsable list of your published courses. Students pick a course, view details, and enrol inline. This is the snippet shown above.
- Single course page: embeds just one course's details and enrolment (and booking, where enabled) on a specific page of your site, handy for a dedicated landing page per course.
- Enquiry form: one of your public enquiry forms, on any page of your site. See Enquiry form embeds and links.
All three inherit your branding, fill the available container width, and resize as their content changes.
Catalogue and single-course links
Go to Marketing → Course Enrolment → Course catalogue for the full catalogue. Use Dates & availability to select a published course and copy its direct link. Links and previews follow your saved Website mode automatically. Embed mode also provides the installation code for your own website.
The single-course snippet keeps its course-specific path, while its display choices come from the saved settings on the Dates & availability tab. You can update those choices once without replacing code already installed on your website.
In Embed mode, use the Embedded course display checkboxes on Dates & availability to choose what every direct course embed leaves to your website. Click Save embed display to apply them. These controls are labelled Embed only and do not hide content on hosted pages:
- Hide back link removes the "All courses" link from a direct course embed. Visitors who selected a course from the catalogue keep that link so they can return to the course list. The enrolment flow also keeps its required return action.
- Hide course header removes the course code and title.
- Hide course details removes the qualification, unit and USI information shown below the enrolment options.
- Hide enrolment hint removes the short explanation below the enrolment options.
- Transparent background, for light pages lets your website background show through. The embed keeps dark text, so leave this option off on dark pages.
The generated snippet includes a stable path such as /embed/courses/hr-a. You can store that path in a CMS course item and use the full catalogue snippet on a separate general booking page. Display settings are saved in RTObase, so the snippet needs only the course path.
Warning
If your website hides the course header or course details, keep the course code, title, nationally recognised training information and RTO identity visible elsewhere on the host page.
Enquiry form embeds and links
You can put an enquiry form on your existing website, or share a direct link to it. No RTObase website page is needed.
Offer the form for public enquiries
In Forms, publish the form and turn on Public website enquiries on its Usage tab. The embed collects the visitor's name and email itself, so the form only needs your enquiry questions. See Website Enquiries.
Open Enquiry forms
Go to Marketing → Course Enrolment → Enquiry forms. In Embed mode the menu item is called Website Embeds. Choose the form under Enquiry form. A live preview shows the form beside its settings.
Copy the link or the snippet
The Enquiry form embed card has two values to copy:
- The direct link, to share in an email, a social post or a QR code.
- The embed snippet, to paste into a page of your website.
Visitors submit without an account. Their enquiries arrive in your Enquiries inbox. If you turn off Public website enquiries on the form's Usage tab, the embed and the link stop accepting enquiries. Members need Forms access to see the Enquiry forms tab.
Public booking calendar
When you run appointment-based delivery (see Appointment Scheduling), the embed can present a booking calendar so students choose a date and time themselves:
- Students select an available date, then a slot, and request or book a session inline.
- Availability is honest: a course intake that's full is shown as unavailable and can't be booked, so you never take a booking you can't honour.
- A time is offered only when a vehicle or asset the course needs and a qualified trainer are free for the course's first block of sessions, with an assessor free for any test in that block. A course with several drives is checked against its first drive, since the drives run on different days.
- A time a student picks is their preferred time. It arrives in your Requests inbox with the enrolment, and your staff confirm it with the student.
Course enrolment options
Open Marketing → Course Enrolment → Dates & availability to configure the public "pick a date" step. Click Save availability to apply your choices to every course on both the hosted website and embeds. Course catalogue provides the catalogue preview, link and embed code. The date settings take effect after a visitor selects a course. Selecting a preview course does not limit the settings to that course.
Date display
Intake dates come from classes that read Public. A Draft or Private class, a class an employer has booked, and every class of a course that is not Public stay off the website and the embed, and their direct links take no self-enrolment. See Public class listings.
Choose how available dates are shown when a student picks an intake or appointment:
| Option | Description |
|---|---|
| Date list (default) | Intake dates and appointment availability shown as rows |
| Calendar | A month grid with available intake or appointment dates marked |
The calendar works with every design style. For appointment-based courses, students choose an available date first, then select one of that day's times.
Show seats remaining
Toggle Show seats remaining to display an "N seats left" chip on nearly-full intakes, it appears only when 5 or fewer places remain, so it's honest scarcity rather than pressure. A sold-out intake always shows as Full regardless of this setting, and can't be booked.
Live preview
The Course catalogue tab previews the list of courses. The Dates & availability tab previews one course beside the settings that control its enrolment options. Your saved Website mode determines whether the preview shows a hosted page or an embed. Shared date and seat settings still apply to both. Each preview reflects saved settings. Padding around the preview belongs to the dashboard only and is not added to the public page or embed.
Dashboard promotion
When you first set up RTObase, an Embed Code card appears on your main dashboard to help you get started. Once the embed is detected as live on your website, the card automatically disappears from the dashboard. You can always access the embed code from Marketing → Course Enrolment.
Customisation
The embed inherits your branding settings (logo, colours) configured in Marketing → Branding. There's no additional configuration needed.
Tip
The embed widget works on any website: WordPress, Squarespace, Wix, custom HTML, or any platform that lets you add custom HTML snippets.
Troubleshooting
Embed not appearing
- Ensure the snippet is pasted inside the
<body>of your page - Check that your website allows third-party scripts
- Verify the
<div id="rtobase-enrol">element is present before the script tag
Embed appears but content is cut off
The embed auto-resizes, but some website builders may apply CSS that constrains the iframe. Ensure the container element doesn't have a fixed height or overflow: hidden.
Content Security Policy errors
If your website has a strict Content Security Policy, you may need to allow https://yourorg.rtobase.com.au in your frame-src directive.
