How to Edit a Student
Update a student's personal details, contact information, or AVETMISS compliance data through the student profile page.
Access required
Choose the task you are doing. Each row is a separate action.
| Task | Required access |
|---|---|
| View a learner record | Students: View |
| Edit learner details and custom fields | Students: Edit |
Audit history, notes and archiving have their own requirements below. Audit log access is not needed to open a learner record or edit its details.
Accessing the student profile
Find the student
- Click Students in the sidebar
- Use the search bar to find the student by name or email
- Click on the student's name to open their profile
Tip
Use the global search (⌘K / Ctrl+K) to quickly jump to any student from anywhere in the app.
Open the edit panel
- On the student's profile, click the Edit button in the top-right
- A side panel will open with all editable fields
Student profile layout
The student profile has several tabs:
| Tab | Content |
|---|---|
| Overview | Student readiness checks and the enrolment portfolio |
| Enrolments | All courses this student is enrolled in |
| Details | Personal details, contact info, AVETMISS data |
| Employers | Employers linked to this student |
| Credentials | First aid certificates, security licences and other credentials the learner holds. See Record Learner Credentials |
| Activity | Recent activity on this student's record |
| Payments | Payment records for this student |
| CPD | Registration, current-cycle progress and credit activity when the CPD module is enabled |
| Communications | Email and SMS history |
| Compliance | The student's Audit Log, with Audit log: View |
Note
The student header shows USI and identity status when an active course requires them or the student already has a recorded verification. Short-course learners who do not need either check are not flagged as missing them. The Overview tab lists the checks required by the student's active courses.
Custom-field chips in the header
Your organisation's student custom fields appear as compact chips in the student header, so common values can be read and changed without opening the Details tab:
- Dropdown and checkbox fields change in place from the chip.
- Text and number fields open a small popover; type the value and press Enter (or click away) to save.
The same values remain editable from the Details tab and the students table; a chip edit never overwrites a change someone else is making at the same time.
Editing personal details
In the edit panel, update any of these fields:
Basic information
- Title: Optional prefix (Mr, Mrs, Ms, Dr)
- First Name: Given name (required)
- Middle Name: Optional
- Last Name: Family name (required)
- Date of Birth: DD/MM/YYYY format
- Gender: Male, Female, Other
Contact information
- Email: Primary email address for communications
- Mobile Phone: Auto-formats as 04XX XXX XXX (digits only)
- Home Phone: Alternative contact
- Work Phone: Business contact
Address
Update the full address including:
- Building/property name
- Unit/flat number
- Street number and name
- Suburb, postcode, state
Note
Address changes automatically update the AVETMISS address fields used in NAT file generation.
Driver's licence
For RTOs that identify students by licence (heavy-vehicle and machinery training, for instance):
- Licence number: searchable: type it into global search, the students list, or the booking student picker to pull up the student
- Licence expiry: the expiry date on the card
- Licence state: the issuing state or territory
Tip
When a student uploads their licence for identity verification, RTObase reads these details off the document and offers them for one-click confirmation, you rarely need to key them in by hand. See Manual Identity Verification.
Editing AVETMISS data
Scroll down in the edit panel to find AVETMISS compliance fields:
Identifiers
USI (Unique Student Identifier)The 10-character USI issued by the USI Registry. Required for nationally recognised training. If the USI has been verified, a green "Verified" badge with the verification date appears next to the field.

Note
When you save a student with a USI, first name, last name, and date of birth, RTObase automatically verifies the USI against the national registry in the background.
Warning
If you navigate away without saving, your changes will be lost. The edit panel will warn you if you have unsaved changes.
Adding notes
| Task | Required access |
|---|---|
| Add or change a note | Students: View and Enrolments: Edit |
To add notes to a student record:
- Click Notes & Checklist in the top-right of the profile

Notes are timestamped and show who added them, useful for:
- Recording phone conversations
- Documenting special circumstances
- Tracking follow-up items
Archiving a student

|---|---|
| Archive or restore a learner | Students: Edit |
If a student is no longer active:
- Open the Edit panel
- Scroll to the bottom
- Click Archive Student
- Confirm the action in the dialog
Archived students:
- Are hidden from the main student list
- Can be found using the "Archived" filter
- Retain all their data for compliance purposes
- Can be restored at any time
Audit trail
Audit access is separate from viewing or changing the business record. Grant it only to members who need to review change history.
| Task | Required access |
|---|---|
| View the learner audit history | Students: View and Audit log: View |
All changes to student records are logged. To review the change history:
- Open the student's profile.
- Open Compliance → Audit Log.
- Review who changed the record, when it changed and the previous and new values.
The profile's last-updated timestamp and communication history serve different tasks. They do not require audit access just because they appear on the same record.
Note
RTObase maintains a complete audit trail of student data changes to meet ASQA record-keeping requirements.
If two records belong to the same person, use the Students: Manage Merge Duplicate Students workflow. Do not edit one record to imitate a merge; the merge workflow preserves source ownership, AVETMISS identity, and reversal provenance.
