Automated Compliance Alerts

How RTObase automatically detects compliance risks and guides you to resolve them before they become audit failures.

Last updated 19 Oct 2026

RTObase continuously monitors your data for compliance risks. When a trainer, course, enrolment, or location change creates a potential compliance issue, an alert is raised automatically, no manual checks needed.

On the Compliance checks tab, related alerts are grouped into one item with an affected-record count. This keeps record-level traceability without turning repeated findings into a separate task board. Due items also appear in the notification bell as Compliance, with the first item to work on.

Access required

Choose the task you are doing. Each row is a separate action.

Fixing a finding in another area also needs that area's access. A finding does not grant access to the underlying student, course or trainer record.

How it works

Compliance rules run automatically whenever you create or update relevant records. They also run after an AVETMISS NAT file import: once the import finishes, every imported course, location, enrolment, and enrolment unit is checked against the rules in the background. Each rule checks a specific condition against the ASQA 2025 Standards or AVETMISS Release 8.0 requirements. If the condition is met, a compliance alert is created for the current reporting period.

When you fix the underlying issue (e.g. upload a missing TAS document, correct an enrolment date), the alert is automatically resolved on the next relevant data change. There is no need to manually close alerts, resolution is driven by your data.

Note

After an AVETMISS import, you'll see a note confirming that compliance checks are running in the background. Alerts for any issues in the imported data will appear on the Compliance page within a few moments.

Alert severities

SeverityMeaning
CriticalWill cause an AVETMISS rejection or ASQA audit failure. Must be resolved.
WarningBest-practice gap that could become a problem. Should be addressed.

Alert lifecycle

  1. Open: Alert is created when a rule detects an issue
  2. Acknowledged: You've seen the alert and plan to address it
  3. Dismissed: You've reviewed the alert and determined it's not applicable (with a reason). Dismissed alerts will not reappear.
  4. Resolved: The underlying data issue was fixed and the alert was automatically closed

Tip

You cannot manually resolve an alert, alerts only resolve when the underlying data is actually corrected. This prevents false compliance confidence.

Compliance rules reference

Each check below lists the requirement it protects, how serious it is, and what to do to clear it. The rule name is the identifier you will see in a finding's address bar, so quote it if you contact support about a specific alert.

Trainer credentials

These rules ensure all trainers meet the 2025 Standards requirements for qualifications and industry currency.

Trainer missing TAE qualification

RuleTRAINER_TAE_MISSING
SeverityCritical
Standard2025 Standards Credential Policy: every trainer/assessor must hold an accepted TAE credential
ResolutionAdd a TAE Evidence credential in the trainer's Credentials tab

Note

Under the 2025 Standards Credential Policy, the accepted credential set is broader than the old "TAE40116 or TAE40122" rule. RTObase recognises these pathways:

  • Full trainer & assessor (§1A): any Certificate IV in Training and Assessment, including TAE40110 (accepted without the two upgrade units), TAE40116 or TAE40122; a Diploma of Vocational Education and Training or Training Design and Development (TAE50111/50116/50122/50211/50216); a diploma or higher qualification in adult education or VET; or a secondary teaching qualification combined with an Assessor Skill Set. These trainers may deliver and assess without direction.
  • Assessment only (§1B): an Assessor Skill Set (TAESS00019/00011/00001). May conduct assessment, including judgements, but not deliver training unsupervised.
  • Delivery under direction (§1C/§1D): actively working towards TAE40122/TAE50122, or a facilitation/workplace/enterprise skill set. May deliver and contribute to assessment only under the direction of a fully credentialled trainer, with no assessment judgements.

Pre-2010 TAA-era qualifications and unrecognised titles do not satisfy the Credential Policy. When you add a credential, choose the matching qualification from the grouped picker so RTObase records the correct pathway.

Trainer credentials expired

RuleTRAINER_TAE_EXPIRED
SeverityCritical
Standard2025 Standards: trainers must hold current credentials
ResolutionUpload renewed credential evidence in the trainer's Credentials tab

Warning

A trainer with expired credentials should not be assessing or delivering training until their credentials are renewed.

Trainer credentials expiring soon

RuleTRAINER_TAE_EXPIRING
SeverityWarning
Standard2025 Standards: proactive credential management
ResolutionArrange credential renewal before expiry to avoid a compliance gap

You get this warning well before the credential lapses, so renewal can be arranged without interrupting delivery.

Industry currency credential expired

RuleTRAINER_INDUSTRY_EXPIRED
SeverityWarning
Standard2025 Standards: trainers must demonstrate current industry skills
ResolutionUpload evidence of renewed industry engagement or current practice

Unit and course currency

These rules detect when superseded qualifications or units are still being used for active training.

Superseded unit has active enrolments

RuleUNIT_SUPERSEDED_ACTIVE_ENROLMENTS
SeverityCritical
StandardASQA: RTOs must deliver current training products
ResolutionTransfer active enrolments to the replacement unit or complete them before the transition deadline

Course superseded past transition deadline

RuleCOURSE_SUPERSEDED
SeverityCritical
StandardASQA: RTOs must deliver current training products
ResolutionArchive this course and create the replacement qualification. New enrolments should not be accepted.

Assessment coverage

These rules ensure your courses have proper assessment tools and that competency decisions are supported by evidence.

Course missing Training and Assessment Strategy

RuleCOURSE_MISSING_TAS
SeverityWarning
StandardOutcome Standard 1.1: RTOs must have a TAS for each training product
ResolutionOn the course's Review and publish step, upload and approve the Training and Assessment Strategy document, or generate one from mapped requirements and approve it as FINAL

Active course has no assessments

RuleCOURSE_NO_ASSESSMENT
SeverityWarning
StandardOutcome Standard 1.3: assessment tools must be reviewed and consistent
ResolutionCreate assessment tools for this course in Online Lessons

Competent unit missing assessment record

RuleCOMPLETED_UNIT_NO_ASSESSMENT_RECORD
SeverityWarning

ResolutionAdd an assessment record for this unit outcome

Date contradictions

These rules catch impossible or illogical date combinations that will fail AVETMISS validation.

Enrolment end date before start date

RuleENROLMENT_END_BEFORE_START
SeverityCritical
StandardAVETMISS NAT00120/NAT00130: dates must be logically consistent
ResolutionCorrect the activity dates on this enrolment

Unit activity end date before start date

RuleENROLMENT_UNIT_END_BEFORE_START
SeverityCritical
StandardAVETMISS NAT00120: unit activity dates must be logically consistent
ResolutionCorrect the unit activity dates on this enrolment

Completion date precedes final unit activity

RuleCOMPLETED_BEFORE_FINAL_UNIT
SeverityWarning
StandardAVETMISS: completion dates should reflect when training actually finished
ResolutionReview the completion date against the unit activity dates and correct whichever is wrong

Rostered session outside training activity period

RuleSESSION_OUTSIDE_UNIT_ACTIVITY
SeverityWarning
StandardOperational consistency: delivery normally occurs within the reported activity period
ResolutionReview the session roster or update the unit activity dates

Note

An earlier rule, ENROLMENT_UNIT_OUTSIDE_ENROLMENT, required each unit's activity period to fit inside the enrolment's (class-mirrored) dates. It was retired in July 2026 because it tested the relationship backwards for cohort delivery, a one-day classroom event legitimately sits inside a longer unit activity period, and its open alerts were automatically resolved. The three rules above replace it.

Completed enrolment has future end date

RuleCOMPLETED_ENROLMENT_FUTURE_END
SeverityWarning
StandardAVETMISS: completion dates should reflect actual completion
ResolutionUpdate the activity end date to match the actual completion date

AVETMISS data completeness

These rules ensure all required fields are populated for NCVER submission.

Completed enrolment missing completion date

RuleCOMPLETED_NO_COMPLETION_DATE
SeverityCritical
StandardAVETMISS NAT00130: completion date is mandatory for completed enrolments
ResolutionSet the completion date on this enrolment

Statement issued for incomplete enrolment

RuleSTATEMENT_ISSUED_INCOMPLETE
SeverityCritical
StandardCompliance Requirements: credentials must only be issued for complete outcomes
ResolutionReview unit outcomes and either correct the outcomes or revoke the statement

Warning

Issuing qualifications for incomplete enrolments is a serious compliance risk during ASQA audits.

Enrolment missing funding source

RuleENROLMENT_MISSING_FUNDING
SeverityWarning
StandardAVETMISS NAT00120: funding source is required
ResolutionSet the funding source (NAT or state) on this enrolment

Location missing postcode

RuleLOCATION_MISSING_POSTCODE
SeverityWarning
StandardAVETMISS NAT00020: postcode is required for training locations
ResolutionUpdate the location with the correct postcode

Enrolment still active but all units finalised

RuleENROLMENT_ACTIVE_ALL_UNITS_FINAL
SeverityWarning
StandardAVETMISS: enrolment status should reflect unit outcomes
ResolutionUpdate the enrolment completion status to Completed or Withdrawn to match the unit outcomes

Stale continuing enrolment unit

RuleENROLMENT_UNIT_STALE_CONTINUING
SeverityWarning
StandardAVETMISS: continuing units should have current activity dates
ResolutionUpdate the outcome to Competent, Withdrawn, or another final outcome to reflect the actual result

Viewing alerts

Navigate to Compliance in the sidebar to see all alerts for the current reporting period. You can:

  • Filter by quarter: Use the Q1/Q2/Q3/Q4 tabs to view alerts for a specific quarter, or "Full Year" for all
  • Filter by severity: Focus on Critical alerts first
  • Filter by category: View trainer, course, or enrolment issues separately
  • Filter by status: See only Open, Acknowledged, or Dismissed alerts

Click any alert to see full details, including the description, remediation steps, and a link to the affected record.

Dashboard widget

The main dashboard shows a compact compliance widget with the current quarter's Critical and Warning counts. Click through to the full compliance page for details.

Notifications panel and bell badge

Compliance alerts stay deliberately quiet in the notifications panel: they appear as a single Compliance checks · N open line at the bottom (with a critical count when there is one), one click from the Compliance page. The bell badge counts actionable work items plus Critical alerts only: Warning-level hygiene never inflates the badge, so a red badge always means something needs action today.

Entity-level banners

When viewing a trainer, course, or other entity that has open compliance alerts, a banner appears at the top of the page linking directly to the relevant alerts.

Best practices

  1. Check compliance weekly: Review the compliance page as part of your weekly admin tasks
  2. Address Critical alerts immediately: These will cause AVETMISS rejection or audit failure
  3. Use Acknowledge for planned work: Mark alerts as Acknowledged when you've seen them and have a plan to fix them
  4. Use Dismiss sparingly: Only dismiss alerts you've reviewed and determined are not applicable. Provide a reason so other team members understand why.
  5. Fix the data, not the alert: Alerts auto-resolve when you correct the underlying issue. There's no shortcut.
