Quick Start Guide

Welcome to RTObase! This guide walks you through the essential setup steps to get your RTO set up and enrol your first student.

You don't need a website to use RTObase

RTObase works as a standalone system. You can add students, create classes, take bookings, and enrol students entirely from the dashboard, no public website or embed required. Building a website, using the enrolment embed, and branding your student and employer portals are all optional enhancements you can add whenever you're ready.

Access required

Choose the task you are doing. Each row is a separate action.

An administrator can complete the whole setup. Once setup is finished, give each team member the permissions for their own tasks.

What you'll accomplish

By the end of this guide, you'll have:

  • Created your organisation account
  • Added your first course and class
  • Enrolled your first student
  • Understood the key areas of the dashboard

Before you begin

You'll need:

  • Your RTO code (Training Organisation ID) registered on training.gov.au
  • Access to an email address at your RTO's registered website domain
  • At least one course you want to offer

Create your account

  1. Go to rtobase.com.au/get-started
  2. Enter your RTO code and click Verify
  3. RTObase looks up your organisation on training.gov.au and auto-fills your RTO name
  4. Enter a Display Name (your branding/trading name, this can be changed later)
  5. Click Next to proceed to account creation
  6. Enter your name and email, the email domain is locked to your RTO's registered website domain (e.g. you@yourrto.edu.au)
  7. Optionally choose Product updates if you want occasional release notes by email. This is off by default and you can unsubscribe at any time
  8. Check your inbox for the verification email and click the link to activate your account

Note

Your organisation name is pulled directly from training.gov.au and cannot be changed, it's used for AVETMISS reporting. The display name is what students and staff see in the app.

Explore your dashboard

After signing in, you'll land on your organisation dashboard. Here's a quick tour:

  • Sidebar navigation: Access all features: Students, Enrolments, Courses, Classes, and more
  • Dashboard: Overview of your enrolments, completion rates, and recent activity
  • Quick actions: Buttons to add students, create classes, and manage your RTO

Tip

The dashboard shows your key metrics at a glance. As you add students and enrolments, you'll see real-time updates here.

Add your first course

Before you can enrol students, you need at least one course:

  1. Click Courses in the sidebar
  2. Click the Add Course button
  3. Enter the course name and accreditation choice, then create the draft
  4. Open Design to add requirements and build the learning and assessment outline
  5. Configure delivery, entry requirements and completion rules
  6. Review the design and publish the course when it is ready for enrolments

See Add a Course for the complete design and publication flow.

Add units to your course

Courses are made up of units of competency:

  1. From your course page, click the Units tab
  2. Click Add Unit to add existing units, or create new ones
  3. For each unit, enter:
    • Unit Code: The competency unit code (e.g., BSBWHS411)
    • Unit Name: The full unit title
    • Nominal Hours: Hours for this specific unit

Create a class

Classes are specific instances of a course with dates and a trainer:

  1. Click Class Schedule in the sidebar

  2. Click Add Class

  3. Select your course from the dropdown

  4. Enter class details:

    • Class Name: A friendly name (e.g., "BSB40120 - February 2026")
    • Start Date and End Date
    • Trainer: Assign a trainer (optional at this stage)
    • Location: Where training will occur

    • Phone: Mobile number (auto-formats as 04XX XXX XXX)
    • Date of Birth

Tip

You don't need to fill in all AVETMISS fields immediately. The student or your admin can complete these later via the student portal survey.

Create an enrolment

Link your student to a class:

  1. Click Enrolments in the sidebar

  2. Click New Enrolment

  3. Select the Student from the dropdown

  4. Select the Class (which automatically links to the course)

  5. Optionally set:
