See which campaigns became enquiries, enrolments and payments

A practical RTObase walkthrough for connecting campaign details you already use to the enquiries, enrolments and payments that follow.

RTObase is not a UTM builder. Your advertising, email or affiliate platform already creates the campaign and the link people follow.

RTObase picks up the source details that arrive with that visitor, preserves them through the buyer journey and connects them to the enquiry, enrolment or payment that follows.

That gives each system a clear job.

ToolQuestion it answers
Advertising, email or affiliate platformWhat did we publish and how did it perform in that channel?

If no campaign details arrive, RTObase cannot invent them. It can still record the operational outcome, but that outcome will not be attributed to a campaign.

The example

This walkthrough uses a fictional paid campaign for the Harbour Skills Institute RSA course in Sydney.

The campaign's goal is a successful paid enrolment. Payment completed is the primary conversion. Enrolment completed is kept as a secondary measure so the team can see where a learner reached before payment.

The example is fictional. The conversion events and product workflow are from RTObase.

1. Choose the outcome first

Start with the buyer journey and choose one primary conversion.

JourneyUseful primary conversion
Employer or practical training conversationWebsite enquiry submitted
Interest before dates are availableCourse interest registered
Enrolment that requires screeningEnrolment awaiting LLND screening
Free or fully discounted courseEnrolment completed
Paid public coursePayment completed

Earlier steps can remain secondary measures. Do not mark every milestone as a primary success or one learner may appear to create several completed outcomes.

Use the destination link and campaign setup from the channel you are already using. That might be Google Ads, Meta, an email platform or an RTObase affiliate link. You do not need to rebuild it inside RTObase.

Send the visitor to the page that matches the message they saw. For the fictional RSA campaign, that page should show the Sydney offering, current price, next class and paid enrolment action.

Complete the page journey yourself before promotion begins. Confirm that the resulting enquiry, interest, enrolment or payment appears in RTObase.

3. Test that attribution reaches the outcome

Complete one end-to-end test through the intended campaign link.

For the RSA example:

  1. Open the published course page through the intended campaign link.
  2. Choose the available class.
  3. Complete the enrolment and approved payment test.
  4. Confirm the enrolment and payment in RTObase.
  5. Check that the source and campaign appear on the outcome.

If the outcome exists but has no campaign details, check the link and channel setup before spending more. Keep test activity separate from live reporting.

Confirm that the source journey has been saved with the enquiry, enrolment or payment it produced.

4. Review the result in RTObase

Open Website → Analytics → Campaign results.

RTObase Marketing Performance dashboard with attributed enquiries, enrolments, payments and net value

Review campaign attribution beside the outcomes recorded in RTObase.

Compare:

  • Attributed enquiries
  • Attributed enrolments
  • Successful payments
  • Net AUD payment value after recorded refunds
  • Results by source, campaign, medium or course

Use First touch to see what introduced the buyer. Use Latest touch to see what brought them back before the recorded outcome.

Review both 30 and 90 day periods when the decision takes time. Filter to one course when several offers share the same channel.

The advertising provider remains the source for spend, impressions and click cost. RTObase is the source for the enquiry, enrolment and payment records. Read both when deciding whether the campaign is commercially useful.

5. Connect an analytics provider only when you need one

Open Website → Analytics → Tracking setup if you also want RTObase to send selected events to GA4, Google Ads, Meta Pixel, GTM, PostHog or another provider.

This is separate from first-party campaign attribution. A provider connection can help with advertising optimisation, audiences, ad-cost reporting or deeper behaviour analysis. It does not create the campaign link.

Choose the provider and enter the destination details it supplies. Use Check setup to validate the configuration and routing. The check does not send a real conversion, so complete a genuine test and confirm it in the provider's own diagnostics before relying on it.

If an RTObase enrolment or booking journey is embedded in another website, use the origin-checked listener from Embed setup and configure the provider on the parent website.

6. Know what the totals mean

All channels includes every enquiry or enrolment recorded in the selected period, whether attribution is present or not. It is an operational total, not an attributed campaign conversion rate.

A payment result is based on the recorded payment outcome. Refunds reduce the net value. This matters because the strongest campaign is not always the one with the most clicks or the largest gross payment total.

Common setup mistakes

  • Treating a click as the final conversion.
  • Choosing several primary conversions for one journey.
  • Sending a specific advertisement to a generic homepage.
  • Expecting RTObase to create the campaign or tracking link.
  • Running Check setup without completing a real conversion.
  • Mixing test activity with live campaign results.
  • Comparing advertising spend with unattributed all-channel totals.
  • Judging a longer enrolment journey after only a few days.

Final check

Before increasing campaign spend, confirm:

  1. The primary conversion matches the actual goal.
  2. The existing campaign sends people to the right page.
  3. The completed action is recorded in RTObase.
  4. Attribution is visible on the enquiry, enrolment or payment path.
  5. Any connected external provider received the intended conversion.
  6. Campaign results are being reviewed by course and over a suitable period.

Once this is in place, your team can discuss campaigns in the language of actual RTO outcomes. RTObase handles the connection from attributed visit to recorded conversion, while the advertising platform continues to report the cost of creating that opportunity.
