How to get more value from your RTO website
A practical RTObase walkthrough for building a clear brand, matching the website to your delivery model and turning visits into the right next step.

Your RTO website should do more than look finished. It should help the right person understand what you offer, choose the right next step and act.
That next step will not be the same for every RTO. Some learners need to choose a class. Some need to book a trainer and vehicle. Some can enrol online now. An employer may need to organise training for a whole team.
RTObase supports each of those journeys while keeping the website connected to the courses, classes, bookings, enquiries and enrolments your team already manages.

Start with the delivery model closest to your RTO, then shape the pages and actions around your buyers.
Start with the journey
These four fictional websites were built in RTObase. Each one has a different job.
Scheduled face-to-face training
Harbour Skills Institute leads people to current classes. A learner can compare dates and locations, then enrol in the option that suits them.

Use current class records when the date and location are part of the buying decision.
Practical training with bookings and assets
Ironbark Driver Training explains the licence pathway before asking someone to request a session. RTObase can then keep the booking connected to the trainer, location and required vehicle or equipment.

Explain the pathway first, then collect the details needed to arrange the right practical session.
Self-paced online training
Brightpath Online College helps the learner understand the course and enrol when ready. The course page can explain access, assessment, study commitment and support before the learner enters the RTObase portal and Online Lessons.

For online delivery, make the course expectations and enrolment path easy to understand.
Employer and workplace training
Junction Workplace Training starts with one useful team enquiry. The employer can explain the sites, roles and timing before the RTO creates the employer record, delivery plan and learner enrolments.

Give employers a clear way to discuss the team before asking for individual learner details.
| Delivery model | Best first action | What RTObase keeps connected |
|---|---|---|
| Scheduled classroom | View available classes | Course, class, location and enrolment |
| Practical appointment | Choose the pathway and request a session | Booking, trainer, location and asset |
| Self-paced online | Review the course and enrol | Course, enrolment and Online Lessons |
| Employer team | Request a training plan | Employer, group booking and enrolments |
One RTO may use more than one of these. The aim is to give each buyer the next step that makes sense.
1. Make the brand recognisable
Open Marketing → Website → Branding and set the logo, icon, colours, fonts, navigation and buttons.

Set the core brand once, then use it consistently across every public page.
Keep it simple. Use one main colour for important actions, readable type and a logo that still works at navigation size. Check the result on a phone as well as a desktop.
The words matter too. If the button starts an enrolment, call it Enrol now. If a team needs a conversation first, call it Plan team training or Make an enquiry.
2. Give every page one job
Open Marketing → Website → Pages and start with the homepage. Its job is to help the visitor recognise that they are in the right place, then choose what to do next.

Build the homepage around a clear next action, then review the published result at different screen sizes.
A useful homepage usually needs:
- A plain explanation of the training you provide.
- A clear action for learners or employers.
- Links to the most important courses, pathways or locations.
- Enough proof to create confidence.
- A final enrolment, booking or enquiry action.
Use the other pages to answer more specific questions. Course pages explain the offer. Location pages help local buyers. Articles answer common questions. A focused campaign page can speak directly to one audience without making the homepage carry everything.
3. Keep course information current
Dates, prices, locations and available places change. Keep them in the RTObase course, class and booking records your team already uses.

Use live course and class information where details change, instead of copying them into several pages.
Read each course page as a buyer. Can they quickly see what the course is, who it is for, when and where it runs, what it costs and what to do next?
If a detail changes often, it should usually come from the operational record. RTObase handles that connection so the website and back office do not become separate jobs.
4. Turn useful content into a buyer path
Good marketing content answers a real question, then gives the reader a useful next step.
For example:
| Buyer question | Useful article or page | Next action |
|---|---|---|
| Which licence class do I need? | A plain guide to the pathways | Request a practical booking |
| Can my team train onsite? | Workplace delivery options | Make a team enquiry |
| When is the next class near me? | Location or course page | View upcoming classes |
| How does online study work? | Study expectations and support | Review the course and enrol |
Write for the person making the decision. Link the article to the relevant course, class, booking or enquiry page. This turns the website into a connected path instead of a collection of pages.
5. Capture useful enquiries
Publish a form for Public website enquiries, then add it to the page where the conversation should begin. RTObase already captures the visitor's name and email, so use the form for the few extra questions your team actually needs.
An employer enquiry might ask for team size, site, preferred timing and courses of interest. A practical booking enquiry might ask for the pathway, experience and preferred location.
New leads appear under Marketing → Website → Enquiries. Your team can reply, move the enquiry forward and connect it to a student record when appropriate.
6. Measure the website and the campaign separately
These are two different jobs.
Website → Analytics → Overview shows what people do on the site. Use it to find busy pages, quiet pages, mobile traffic and journeys that may need attention.
Website → Analytics → Campaign results shows which source or campaign was connected to an enquiry, enrolment or payment recorded in RTObase.
RTObase is not a campaign link builder. Keep creating ads, emails and campaign links in the channel you already use. When that channel supplies campaign details, RTObase preserves them through the buyer journey and attaches them to the resulting operational record.

Compare existing campaign activity with the enquiries, enrolments and payments recorded in RTObase.
Use First touch when you want to know what first introduced a buyer. Use Latest touch when you want to know what brought them back before they acted. Compare 30 and 90 day periods so a longer enrolment decision is not judged too early.
Open Tracking setup only when you also want to connect GA4, Google Ads, Meta Pixel, GTM, PostHog or another provider. Those connections send selected website and conversion events to the provider. They do not replace RTObase campaign results or create campaign links.
7. Give affiliates their own tracked links
Open Marketing → Affiliate Marketing when a referrer, industry partner or association will promote your courses.
Create a program with either a percentage or fixed commission and choose an attribution window. Add each affiliate, paste the published course or website page they should share, then copy their unique tracked link.

Review each affiliate's activity and the commission created by verified paid enrolments.
The link tells RTObase which affiliate referred the visitor without placing the affiliate's contact details in the URL. Successful live AUD payments can create commission entries, while refunds create adjustments.
Review the commission before approving it. RTObase keeps the ledger and records the payout you make through your bank or accounting system. It does not transfer money to the affiliate.
Affiliate marketing is for general referral relationships. It is separate from regulated CRICOS education agent management.
8. Review what is working
Set aside 30 minutes each month and answer four questions:
- Which pages are bringing people in?
- Which existing campaigns are producing enquiries, enrolments or payments?
- Where are people leaving without taking the next step?
- Which course, article or campaign should be improved next?
Keep the changes small. Rewrite one unclear heading. Strengthen one action. Add one missing buyer question. Stop a campaign that brings visits but no useful outcomes.
9. Connect the public address and test it
Every organisation has an RTObase subdomain. Connect your own verified domain under Marketing → Website → Domains when the site is ready.

Prepare and test the site first, then connect the organisation's public domain.
Open the public website in a private window and complete the action you expect a buyer to take. Test one enrolment, one booking or one enquiry. Repeat it on a phone, then confirm the result appears in RTObase and any connected analytics provider.
That gives you a website you can keep improving. RTObase handles the connection between the public journey and the work that follows, including courses, classes, bookings, assets, enquiries, affiliates, payments and enrolments.

The thesis in practice: what we've shipped, and why each piece follows from one record
Our first post set out a thesis, an RTO runs on a relationship that loops, and it belongs in one product on one student record. A thesis is only worth what it ships as. Here's what we've built since, and why none of it would work as a bolt-on.
