A routine change without the ten-screen detour
Describe one routine change, review the prepared update and approve it. The Admin Agent handles the searching while your team keeps the final say.

A learner calls with a new phone number. The change takes seconds to understand.
Updating it can take longer. Find the student. Open the right tab. Locate the field. Enter the number. Save it. Then return to the work you were doing.
Small changes create a lot of navigation.
The RTObase Admin Agent lets your team describe one change, review it and approve it.
Say what needs to change
You can ask the agent to:
- update a student's contact details;
- change an enrolment field;
- move or complete a booking;
- record an offline payment;
- update trainer credentials or scope;
- progress a complaint.
The agent finds the record and prepares the change.
For example:
“Move Thursday's RSA booking for Alex to Priya.”
“Update Samira's mobile number to 04…”
“Record the $240 bank transfer against this enrolment.”
Review before it runs
The change appears in an approval card. Your team can check the record and the new values before anything happens.
If something is wrong, edit or reject it. If it is correct, approve it.
One change needs one approval. A request with three updates becomes three decisions. The agent does not receive a broad instruction to clean up records in the background.
The normal rules still apply. Recording a bank transfer does not charge a card. Updating trainer scope does not create evidence that the trainer is current. Moving a booking still depends on the person being suitable and available.
The agent prepares the admin. Your team confirms the decision behind it.
Save the repeated minutes
One update may save only a few clicks. Across a week, those clicks add up.
RTO teams make many small changes: contact corrections, booking moves, payment records, trainer updates and complaint notes. Each one interrupts the current task.
Using the agent keeps the work in one flow:
- Find the record.
- Describe the change.
- Review it.
- Approve it.
There is no second search and no need to remember which screen holds the field.
New records still use the full form, as covered in last week's article. A narrow change to an existing record can be prepared directly because your team can see exactly what will change.
Routine admin should be quick to carry out, not hard to control.
Next Friday: how the same conversation helps move from final assessment to certificates, messages and reporting.
If small changes keep breaking up the day, see the Admin Agent in RTObase.
