Finish the work without the handoff scramble
Move from final assessment to USI checks, certificates, messages and reporting without starting a new search at every step.

A learner finishes their final assessment. The training is done, but the admin is not.
The result needs to be recorded. The USI may need checking. A certificate may need issuing. The learner needs an update. Completed activity needs to move into reporting.
Each step often starts with another search.
The RTObase Admin Agent keeps those steps in one conversation. Your team still approves each important action.
Move through the completion steps
The agent can help your team:
- Record the result. Prepare the assessment outcome against the correct submission.
- Check the USI. Run the normal registry check or record the staff-attested path where appropriate.
- Issue the certificate. Prepare the completion document once the enrolment meets the normal requirements.
- Contact the learner. Draft an email or SMS for review.
- Prepare reporting. Generate NAT files and record lodgement details after the external step is complete.
The learner and enrolment stay at the centre of the work. Staff do not need to search for the same record in every area.
Important actions stay separate
The agent does not turn “finish everything” into one hidden batch.
Recording an outcome is one action. Sending a message is another. Issuing a certificate is another again. Each waits for approval.
Existing checks still apply. A missing outcome cannot be skipped. Admin-only work stays admin-only. A USI mismatch still needs to be resolved with the learner.
This keeps the process clear. The agent carries the context. Your team makes the decision.
Reporting still ends outside the chat
The agent can prepare an AVETMISS export and help record the lodgement workflow. It does not upload files to a government portal or guarantee acceptance.
For the supported fee-for-service path, the RTO still reviews the data and uploads it to NCVER AVS.
After the external lodgement is complete, the agent can help record the date and reference. It does not mark the work lodged before it happens.
That is the right balance. Less time finding the next screen. No shortcut around the real responsibility.
One simple admin flow
This closes the four-part series:
- Find the work.
- Open the right form.
- Review routine changes.
- Finish the important follow-up.
The agent reduces searching, repeated entry and handoffs. Your team stays responsible for the outcome.
Completion should create a clear next step, not another admin project.

Validate AVETMISS continuously, not in the last 48 hours
Most AVETMISS pain is concentrated in the 48 hours before the deadline, and it's almost always the same five validation bounces. The fix isn't more diligence in December, it's validating continuously, at every record update, so the file you submit was already valid in March.
